Tasks
The scope of work for an Administration Assistant at FAO is both diverse and impactful. As part of the administrative and operations team, you will be responsible for supporting a range of internal functions, providing critical support to technical teams, and ensuring compliance with internal policies and UN system regulations. Tasks typically include, but are not limited to:
General Office Administration
- Drafting routine correspondence and supporting the production of official letters, memos, and reports
- Maintaining office filing systems, both digital and physical, and ensuring proper archiving of key documents
- Handling incoming calls and correspondence, screening communication, and ensuring timely dissemination
- Supporting the onboarding of new staff and consultants by preparing workspaces, ensuring access to systems, and distributing materials

Procurement and Financial Administration
- Assisting in the procurement of goods and services, following UN rules and FAO procurement processes
- Preparing purchase requisitions and liaising with vendors, procurement officers, and logistics teams
- Tracking the delivery and receipt of goods and services, ensuring invoices are processed in a timely manner
- Supporting petty cash administration and small-scale financial transactions
Travel and HR Support
- Coordinating travel arrangements for staff and consultants, including visa support, flight and accommodation bookings
- Preparing travel authorizations and travel claims for reimbursement
- Supporting basic human resources tasks such as timesheet collection, leave tracking, and staff records maintenance
Project and Programmatic Support
- Assisting project coordinators with administrative documentation required for project implementation
- Helping maintain contact lists of partners, stakeholders, and government counterparts
- Preparing PowerPoint presentations, charts, and briefings for programmatic meetings and missions
In all of these functions, Administration Assistants are expected to adhere to the highest standards of confidentiality, professionalism, and cultural sensitivity.
Qualifications
Education and Certification
- Completion of secondary education is required. Candidates with post-secondary certification in administration, business studies, public administration, or a related field will have a competitive advantage.
- Additional certifications or diplomas in office management, UN administration systems, or secretarial studies are considered assets.
- University-level studies in international relations, social sciences, development, or public policy are also advantageous but not mandatory for these roles.
Experience
- A minimum of 3 to 5 years of relevant experience in office support, secretarial services, or administrative roles is required.
- Prior experience working in international organizations, embassies, NGOs, or other multilateral institutions is highly desirable.
- Candidates with experience supporting procurement, finance, travel, or HR functions will be prioritized.
- Experience using ERP systems (e.g., Oracle, SAP, or Umoja) is an added advantage.
