The Staff Assistant (G-5) position is based in the Front Office of the Director of the Legal Affairs Division. The selected candidate will be responsible for supporting the Director with administrative and organizational tasks, coordinating communication, managing records, and serving as the focal point for secretariat-wide projects.

This position is open to EU nationals or individuals holding valid German work permits and offers an annual net salary of approximately €44,919 plus UN benefits.

Tasks

As a Staff Assistant (G-5), you will take on a range of administrative and organizational responsibilities, including:

1. Administrative and Organizational Assistance to the Director

  • Maintain schedules and calendars, set up appointments, and manage visitor access.
  • Organize meetings, take minutes, and ensure follow-ups on assigned tasks.
  • Make travel arrangements including visas, accommodation, and itineraries.
  • Prepare reports, speeches, and presentation materials using MS Office and SharePoint.
  • Manage internal databases, update websites, and generate reports.
  • Compile background materials for official reports, briefings, and presentations.
  • Ensure all documents adhere to UNFCCC formatting and editorial guidelines.
  • Assist in drafting, proofreading, and quality-checking outgoing correspondence.

2. Coordination of Communication Flow

  • Serve as the liaison between the Legal Affairs Division and other departments.
  • Track ongoing projects and ensure deadlines and priorities are met.
  • Process and distribute incoming and outgoing correspondence.
  • Maintain and update electronic and paper-based records.
  • Manage information flow via SharePoint and Intranet.

3. Project and Logistical Support

  • Assist in the coordination of special events, intergovernmental meetings, and projects.
  • Provide logistical support during UN climate conferences and subsidiary body meetings.
  • Maintain and manage meeting documentation for easy retrieval.
  • Act as a point of contact for secretariat-wide committees and initiatives.

4. Other Administrative Responsibilities

  • Perform additional job-related duties to contribute to the UNFCCC’s objectives.
  • Support office-wide administrative needs and collaborate with colleagues on team projects.

Qualifications

Education and Certification

  • Completion of secondary education.
  • Additional formal secretarial or administrative training is an asset.

Experience

  • Five years of relevant administrative experience (or three years with a first-level university degree).
  • Prior experience as a Secretary, Personal Assistant, or Team Assistant.
  • Experience in an international organization is highly desirable.

Skills & Competencies

  • Strong proficiency in MS Office (Word, Excel, PowerPoint), SharePoint, and email applications.
  • Ability to work independently, manage priorities, and stay focused in a dynamic environment.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to handle confidential information.
  • Knowledge of UN protocols and administrative procedures is an advantage.

Language Requirements

  • Fluency in English (spoken and written).
  • Working knowledge of German is an asset.
  • Knowledge of another UN language is desirable.
