The IMO, a specialized agency of the United Nations, is maintaining a Roster to fill multiple temporary positions across its various functional areas throughout the year. These temporary contracts are limited to a period of up to one year, issued on a quarterly basis, and offer hybrid working arrangements. The Administrative Assistant will provide integrative and adaptive coordination support, ensuring the smooth day-to-day operational and contractual matters for several Sections. This role requires exceptional organizational skills and meticulous attention to detail to maintain the high standard required for all correspondence and documentation.

Tasks
The Administrative Assistant will be responsible for a broad range of support duties, including:
- Documentation and Quality Control: Preparing and updating meeting documents, correspondence, draft reports, and briefs; proofreading and editing all documentation to ensure an excellent standard in conformity with IMO practices.
- Meeting and Event Support: Assisting in the coordination of meetings and events (in-person and virtual via Teams or Zoom), including internal logistical processes, communicating with participants, and supporting IMO working/drafting groups.
- Budget and Procurement: Assisting in monitoring the execution of budgets and managing all procurement aspects, including preparing purchase requisitions, framework requisitions, and goods receipts (e.g., in SAP).
- Travel and Logistics: Processing official trips by coordinating travel and visa arrangements, accommodation, and security clearance.
- Knowledge Management: Organizing databases, maintaining the electronic filing system on SharePoint, and maintaining/updating the IMO public and intranet webpages.
Qualifications
Education and Certification
- Essential: Secondary education or equivalent to university entrance standard.
- Desirable: Relevant qualification or training in administrative or management areas.
Experience
- Essential: At least four years’ experience in relevant secretarial roles or administrative support functions. (A related university degree may be considered as two years’ experience).
- Desirable: Experience within an international organization.
- Essential Skills: Proficiency in Microsoft Office Suite applications. Excellent numerical, proofreading skills, and drafting capability. Working knowledge of SharePoint and Enterprise Resource Planning (ERP) systems such as SAP is an advantage.
- Language: Proficient in English (written and oral). Working knowledge of any other official UN language is an advantage.
