Background & Job Description

The United Nations Educational, Scientific and Cultural Organization (UNESCO) is a specialized agency dedicated to promoting international collaboration through education, science, and culture. This position is within the Social and Human Sciences (SHS) Sector, specifically in the Bioethics and Ethics of Science and Technology Section (SHS/BIO), which focuses on ethical issues related to science, technology, and bioethics on a global scale.

The Programme Assistant will play a key role in supporting the efficient operation of this section by providing administrative, budgetary, and project coordination support. The incumbent will be responsible for tracking programme activities, assisting in event planning, financial monitoring, and coordinating outreach initiatives.

This position is based at UNESCO’s headquarters in Paris and is open to candidates eligible to work in France. The contract is a temporary appointment ranging from 7 to 11 months.


Tasks

The Programme Assistant will undertake various responsibilities, including but not limited to:

  • Programme Administration & Coordination:
    • Track and report on programme activities, ensuring compliance with UNESCO’s guidelines.
    • Support in planning and coordinating special events, outreach initiatives, and partnership activities.
    • Assist in organizing and archiving programme and project-related documentation.
  • Budgetary & Financial Monitoring:
    • Monitor programme and project budgets, ensuring accuracy and compliance with financial regulations.
    • Prepare budgetary reports and projections for management and donors.
    • Identify discrepancies in financial data and propose corrective actions.
  • Event & Meeting Support:
    • Research and identify potential venues for events, workshops, and meetings.
    • Draft invitations, prepare participant lists, and coordinate logistics.
    • Arrange translation, printing, and distribution of relevant documents.
  • Administrative & Office Support:
    • Handle contract processing, procurement activities, and HR-related paperwork.
    • Assist with travel arrangements and visa processing for staff and stakeholders.
    • Maintain updated contact lists and databases for efficient communication.

Qualifications

Education & Certification

  • Completion of secondary education, vocational, or technical training.
  • Specialized training or certification in administration or secretariat support is desirable.

Experience

  • At least five (5) years of relevant professional experience in administrative or programme support roles.
  • Familiarity with UNESCO, UN agencies, or other international organizations is an asset.
  • Experience in budget management, procurement, and event coordination is highly desirable.
  • Knowledge of bioethics, science, and technology ethics will be an advantage.

Additional Information

Language Requirements

  • Excellent spoken and written proficiency in English or French.
  • A good working knowledge of the other language (English or French) is required.
  • Knowledge of Arabic, Chinese, Russian, or Spanish is an asset.

  • UNESCO offers an approximate starting annual salary of €43,734.
