Tasks
The Administrative Assistant will be responsible for the following tasks:
- Coordinate and execute administrative processes within the assigned division or unit.
- Support document preparation, formatting, and distribution across various channels.
- Maintain updated records, files, and databases to ensure easy retrieval and organizational efficiency.
- Assist in organizing meetings, workshops, and other events by coordinating logistics, preparing agendas, and following up on action points.
- Serve as a contact point for internal and external communications, ensuring timely and professional responses.
- Collaborate closely with other team members and departments to maintain consistency in procedures and optimize workflow.
Qualifications
Education and Certification
- A minimum of a high school diploma or equivalent.
- Formal administrative training or certification is desirable.
Experience
- Relevant work experience in an administrative or office support role, ideally within international organizations or institutions.
- Familiarity with UN systems and procedures is considered a strong asset.
- Proficiency in using office software tools such as MS Office (Word, Excel, PowerPoint), and working knowledge of enterprise systems such as ERP is preferred.
