With over $24.7 billion distributed in grants across 5,700+ projects, the GEF has made an indelible impact across more than 170 countries. The GEF Secretariat, hosted by the World Bank, currently has about 100 staff members managing governance, operations, and event coordination.

The Program Assistant will work in the General Management Division, reporting to the Division’s General Manager and the Senior Country Program Officer. The primary focus will be event logistics and administrative coordination, specifically for high-profile meetings, such as the GEF Council.

Tasks

As a Program Assistant at the GEF Secretariat, your responsibilities will be diverse and central to the team’s operations. Key tasks include:

Event Logistics and Coordination

  • Support the GEF Events Team Lead in organizing and managing international events and workshops.
  • Coordinate logistics such as venue procurement, transportation, participant registration, document preparation, catering, and event materials.
  • Assist with travel arrangements for participants, lodging, and per diem management.
  • Ensure smooth onsite event delivery and act as a liaison with external vendors.

General Administrative Support

  • Help manage the day-to-day administrative operations of the General Management Division.
  • Coordinate with other GEF divisions, external stakeholders, and vendors.
  • Format documents, draft correspondence, and distribute meeting minutes.
  • Support Council meetings with logistical arrangements and communication.

Transaction and Records Management

  • Process procurement and hiring requests through SAP and the World Bank Admin Portal.
  • Assist with consultant and temporary staff recruitment and onboarding.
  • Maintain and update shared documents, databases, and records.

Other Duties

  • Take on ad hoc tasks as needed.
  • Act as a backup for other support functions within the Events Team.

Qualifications

Education and Certification

  • A high school diploma is required.
  • A minimum of 10 years of relevant professional experience or an equivalent combination of education and experience is mandatory.

Experience

  • Proven expertise in event planning and logistics.
  • Strong organizational skills with excellent attention to detail.
  • Effective project and time management capabilities.
  • Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and standard procurement systems like SAP and the Admin Portal.
  • Ability to communicate effectively across cultures and with international stakeholders.
  • Prior experience supporting high-level governance events or international councils is a plus.

Additional Information

Language Requirements

  • Fluency in English (written and spoken) is essential.
  • Proficiency in French, Spanish, or Portuguese is highly desirable.
