Purpose of the Post
The International Maritime Organization (IMO) is establishing a roster of temporary Editorial Assistants to provide linguistic and editorial support throughout the year across its six language units:
- English
- French
- Spanish
- Arabic
- Chinese
- Russian
Successful candidates will be assigned to a language unit based on demonstrated mother-tongue-level proficiency. The roster enables IMO to quickly fill short-term editorial and document processing needs as they arise.

Key Duties and Responsibilities
Under the supervision of the Supervisor of the Document Processing Unit and the Head of Translation, the Editorial Assistant will:
- Proofread documents for accuracy, consistency, and compliance with IMO editorial standards
- Edit, format, and prepare documents, including complex layouts, tables, and merged files
- Verify grammar, syntax, references, and consistency with source texts
- Ensure all document elements are accurately reflected, including annexes, footnotes, tables, charts, and pagination
- Liaise with translators, editors, and revisers to resolve discrepancies
- Align bilingual texts to support translation memory systems used in CAT tools (e.g. eLUNa)
- Convert documents into multiple formats (MS Word, PDF, etc.) and validate accuracy
- Handle high volumes of documentation under strict deadlines
- Work night shifts and overtime when required (regular for English, French, and Spanish units)
- Support other document processing and administrative tasks as needed
Required Competencies
- Exceptional attention to detail and accuracy
- Strong organizational and prioritization skills
- Ability to work independently under pressure
- Flexibility to manage late-night work cycles
- Capacity to work effectively in a multicultural environment
Professional Experience
- Minimum 4 years of relevant editorial or linguistic experience
- A university degree in a relevant field may substitute for 2 years of experience
Education
- Secondary education (or equivalent to university entrance standard) – required
Language Requirements
- Mother-tongue-level proficiency in one official IMO language:
- English, French, Spanish, Arabic, Chinese, or Russian
- Full professional proficiency in English (written and oral) – required
- Knowledge of additional UN languages is an asset
Additional Skills
- Ability to adapt quickly to new editorial and document management software
- Familiarity with computer-assisted translation (CAT) tools preferred
- Strong communication skills for coordination with multilingual teams
