About the Role
The Coordinator, Business Project Management (Convenings) is a newly created role within the Gender Equality Division’s Office of the President. The successful candidate will play a vital role in coordinating international meetings, conferences, workshops, and other convenings while also supporting visa documentation for staff and participants.
Working closely with Deputy Directors, Program Officers, and administrative teams, the coordinator will ensure that events are delivered efficiently, professionally, and successfully.
This position is based in Seattle and requires domestic and international travel of approximately 20–25%.
Key Responsibilities
The successful candidate will:
- Coordinate multiple international events and convenings from planning through completion.
- Manage event logistics, scheduling, timelines, and participant coordination.
- Collaborate with internal teams responsible for travel, registration, and event services.
- Act as the primary point of contact for internal and external stakeholders.
- Support inclusive and high-quality event experiences.
- Prepare visa support documentation and coordinate with the Foundation’s Travel and Visa team.
- Research country-specific visa requirements.
- Produce workload reports, service metrics, and project tracking documentation.
- Develop standard operating procedures, FAQs, and guidance materials.
- Prioritize multiple assignments while meeting deadlines in a fast-paced environment.
- Continuously improve processes and administrative systems.
