Job Title: 2 ICT Interns / Archivists, (2 positions available)

  1. OPERATIONAL CONTEXT

Given the context of activities during the anticipated internship period, the intern will implement solutions to address a specific issue provided by their supervisor or respond to a professional question.

The objective will be to enable the intern to acquire new knowledge, become familiar with the professional environment where they can apply theoretical knowledge to practice, learn to work, and adapt in a professional setting.

  1. SUMMARY OF ACTIVITIES

Participation in identifying needs with designated Focal Points; Reorganization and updating of records (prioritization and cleaning) by category or theme for each section; Sorting and elimination of unnecessary files and documents on Ms Teams and Share Point; Documenting the files on Ms Teams and Share Point.

  1. DESCRIPTION OF TASKS: Under the general supervision of the ICT team, the intern will enhance their knowledge and understanding of the IT and Telecommunications environment as a whole, in order to be able to learn, they will contribute to and assist with the following Computer Section tasks:

Supporting sections or Units in the reclassification of archives (Admin, HR, Resettlement, Asset Management etc…), in preparation for the move to the United Nations House in Diamniadio; Harmonizing practice and coding methods in accordance with UNHCR’s unit archiving policy; Proactively assisting and helping units and sections, in collaboration with their focal points, in setting up classification structures adapted to their needs in MS Teams and SharePoint, in accordance with UNHCR standards; Assisting in maintaining access and permissions for electronic filing systems, Assisting in training users and other focal points of each unit on standards and use of digital and physical spaces;

Assisting in ensuring compliance with record-keeping procedures and directives, and taking necessary steps to correct errors; Taking necessary measures to ensure the integrity and security of files stored in repositories; Assisting the ICT unit in producing accurate inventories of Equipment, as well as documents and files saved in the CLOUD; Providing level 1 ICT support to Regional Office users; Undertaking installations and troubleshooting of ICT equipment under the supervision of the office’s ICT team; Participating in regular and periodic maintenance activities of ICT equipment; Performing any other tasks assigned by the hierarchy.

  1. REQUIRED QUALIFICATIONS:

Academic training in the field of document and computerized archiving, Or Academic training in the field of Computer Science and Telecommunications Proficiency in computer applications of MS Office (Excel, Word, PowerPoint, Outlook…), ease of navigation and search on the internet and use of email. Good knowledge and mastery of the maintenance of Computer equipment and network in particular. Fluency in French and good knowledge of English. Very good knowledge of standard office software; Good writing and analytical skills

  1. DESIRED SKILLS:

Knowledge of UNHCR rules and procedures Availability, flexibility, and ability to work in a multicultural team environment Practical experience in ICT equipment inventories or related field (e.g. computer science, or any relevant academic qualification) Theoretical experience in the installation and basic maintenance of ICT equipment.

  1. ELIGIBILITY: To be considered for an internship, candidates must meet the following eligibility criteria: a. Be a recent graduate (Recent graduates should be considered as individuals who have completed their studies in the year preceding their application for an internship at UNHCR) or still pursuing higher studies at a university or higher education institution accredited by UNESCO; and

b. Have completed at least two years of undergraduate studies in a relevant field or showing an interest in the Organization’s work.

Note: A person whose father, mother, son, daughter, brother or sister is a staff member of

UNHCR, including if they hold a temporary appointment or are an associate staff member,

is not eligible for an internship. Including a holder of a temporary appointment

or a member of the affiliate workforce, is not eligible for an internship.

Allowance

Interns who do not receive financial support from an outside party will receive an allowance to partially cover the cost of food, local transportation, and living expenses.
